**Short answer:** a good appointment reminder text fits in one sentence and contains five elements: the name of the business, the date, the time, the location and how to cancel. Send it 24 to 48 hours ahead, between 9 a.m. and 8 p.m., and stay under 160 characters so it goes out as a single message. Twenty copy-and-paste templates follow, sorted by trade.

A missed appointment is expensive: an empty slot, an embarrassed client, and sometimes no way to bill for it. SMS remains the most effective tool for preventing it, because it appears on the lock screen without anyone having to open an app. But a badly written reminder — too long, sent too early, with no way to reply — is useless. Here's how to word it, when to send it, and what the legal framework requires.

## What should an appointment reminder text contain?

Five pieces of information, and nothing more. Every extra word pushes the message closer to the 160-character limit.

1. **The sender's identity.** "Dupont Practice", "Martin Garage". A text sent from a short code or an alphanumeric sender ID isn't recognised by the recipient: you have to name yourself in the body of the text.
2. **The date, written out plainly.** "Tuesday 20/10" is better than "20/10" on its own: the day of the week is what the brain holds on to.
3. **The exact time**, in short format ("2.30pm", not "two thirty in the afternoon").
4. **The location or the practitioner**, when there are several sites or several people involved.
5. **The way to cancel or confirm**: a phone number, or a reply instruction ("Reply YES to confirm").

What you can cut without regret: long courtesy formulas ("We would like to take this opportunity to remind you that"), the detailed medical reason — health data has no place in a text readable on a lock screen — and emojis, which switch the whole message to UCS-2 encoding and cut the limit down to 70 characters. The details of that mechanism are explained in our article on [writing an effective SMS in 160 characters](/blog/2025-11-15/sms-160-character-limit), and you can check each template with the [SMS character counter](/outils/compteur-caracteres-sms).

## When should the reminder be sent?

The right moment depends on what you want from the client: that they remember, or that they free up the slot if they're not coming.

| Lead time before the appointment | What it allows | For which trade |
| --- | --- | --- |
| 7 days ahead | Rescheduling without losing the slot | Specialists, notaries, exams |
| 48 h ahead | Cancelling in time, fitting in another patient | Healthcare, physio, dentist |
| 24 h ahead | The default "useful" reminder | Hairdressing, beauty, veterinary |
| The same morning | Avoiding last-minute no-shows | Garages, tradespeople, deliveries |
| 2 h ahead | Travel reminder | Long or distant appointments |

The practical rule: **one reminder for a routine appointment, two at most** (D-7 then D-1) for appointments that are long or costly to lose. Beyond that, the client stops reading and starts seeing the message as spam.

As for timing, stick to the window permitted for telephone prospecting: **Monday to Friday from 10 a.m. to 1 p.m. and from 2 p.m. to 8 p.m., Saturday from 9 a.m. to 1 p.m. and from 2 p.m. to 8 p.m.**, a framework set by the decree of 13 October 2022 and restated by the [DGCCRF](https://www.economie.gouv.fr/dgccrf). Legally, that window targets cold calling, not a reminder for an appointment the client asked for; in practice, nobody appreciates a business text at 7 a.m. or 10 p.m. A reminder for the next day's medical appointment sent around 6 p.m. gets read in the evening, exactly when people are checking their diary.

So you don't have to rely on your memory, there are two approaches: scheduling in the tool you already use (see the [bulk and scheduled SMS](/exemples-sms) page), or an automatic trigger from your calendar software. If you manage your slots on paper, a [weekly desk diary](https://www.amazon.co.uk/s?k=agenda+de+bureau+semainier+2027&tag=ds0608-21) sitting next to your workstation is still the most reliable way to spot at a glance which appointments two days out need a reminder.

## 20 ready-to-send reminder SMS templates

Each template comes with its character count, placeholders included. Replace the items in brackets.

### Medical, dental and allied health practices

1. "[Name] Practice: reminder of your appointment Tuesday 20/10 at 2.30pm. To cancel: 01 23 45 67 89." *(97 characters)*
2. "Dr [Name]: your appointment is confirmed for Thursday 22/10 at 9am. Please let us know if you can't make it: 01 23 45 67 89." *(123)*
3. "[Name] Dental Practice: appointment tomorrow 3pm. Don't forget your health insurance card. Cancellations on 01 23 45 67 89." *(122)*
4. "[Name], physiotherapist: session Monday 19/10 at 11am, [address]. Reply STOP RDV to cancel." *(90)*
5. "[Name] Laboratory: sample collection Friday 23/10 at 8am. Come fasting (12h without food). Info: 01 23 45 67 89." *(111)*
6. "[Name] Practice: your appointment on 20/10 at 4pm is coming up. Reply YES to confirm, NO to free up the slot." *(108)*

One useful reminder for healthcare professionals: the reason for the consultation is health data within the meaning of the GDPR. The [CNIL](https://www.cnil.fr) recommends sticking to the necessary information — "your appointment" is enough, "your oncology follow-up appointment" is a potential disclosure if the phone is lying on a table. The topic is developed in our article [Free SMS and GDPR: what a free service keeps](/blog/2026-07-24/sms-and-gdpr).

### Hairdressing, beauty, wellness

7. "[Name] Salon: we'll see you Saturday 24/10 at 10am for your colour. Any problem? 01 23 45 67 89." *(96)*
8. "[Name]: reminder of your haircut appointment tomorrow 5pm with [first name]. Please give us 24h notice if you need to cancel." *(124)*
9. "[Name] Institute: your 1-hour treatment is booked for Thursday 22/10 at 6.30pm. Please arrive 5 min early." *(105)*
10. "[Name] Barbers: appointment Wednesday 21/10 at 12pm. Reply YES to confirm, otherwise the slot will be released at 8pm." *(118)*

In these trades, the outright loss of an unattended slot justifies a reminder with explicit confirmation. Template 10 is the most effective: it turns the reminder into an action.

### Garage, vehicle inspection, tradespeople

11. "[Name] Garage: your vehicle is expected Monday 19/10 at 8am for its service. Please bring the registration document." *(117)*
12. "[Name] Vehicle Inspection: appointment Tuesday 20/10 at 9.30am. Remember your registration document and certificate." *(117)*
13. "[Name] Plumbing: visit scheduled Thursday 22/10 between 8am and 10am at [address]. Please make sure someone is in." *(114)*
14. "[Name]: delivery and installation of your order Friday 23/10 morning. Our technician will call you 30 min beforehand." *(117)*
15. "[Name] Garage: your car is ready. You can collect it until 6pm today." *(69)*

![Close-up of a woman's hands in a beige jacket typing on a laptop keyboard](/images/blog/2026-10-14-sms-rappel-rendez-vous-modeles-regles/body-1.jpg)

For home visits, the time window you announce is a commitment. A text sent on the morning itself narrowing the window ("between 9am and 10am" instead of "during the morning") does more for customer satisfaction than any sales follow-up.

### Veterinary, schools, associations, miscellaneous

16. "[Name] Veterinary Clinic: appointment for [pet's name] Tuesday 20/10 at 5pm. Please bring their [health record book](https://www.amazon.co.uk/s?k=carnet+de+sant%C3%A9+animal+chien+chat&tag=ds0608-21)." *(112)*
17. "[Name] Vet Clinic: vaccination reminder for [pet]. Book an appointment on 01 23 45 67 89 before 30/11." *(101)*
18. "[Association]: your duty slot is confirmed for Saturday 24/10 from 10am to 12pm, room 2." *(87)*
19. "[Name]: enrolment interview Thursday 22/10 at 2pm, reception desk. Please bring proof of address." *(97)*
20. "[Name]: reminder of your phone appointment tomorrow 11am. We'll call you on the number this text was sent to." *(109)*

## Should you include "STOP" in a reminder text?

**No, not necessarily — but it depends on what the message contains.** The "STOP" notice belongs to commercial prospecting: it's required for advertising messages, where opting out has to be free and simple. A reminder for an appointment the client booked themselves is a relationship-management message, not an advert.

The dividing line is clear:

- **Pure reminder** (date, time, location, cancellation) → no STOP notice required, and that's just as well: it would eat up useful characters.
- **Reminder + offer** ("and enjoy 20% off your next treatment") → the message becomes commercial, prior consent and the right to object apply, under article L. 34-5 of the French Postal and Electronic Communications Code.

The wisest course is never to mix the two. A reminder that sells loses its credibility as a reminder, and exposes you to cold-calling rules. If you do send commercial campaigns separately, the STOP notice runs through a short code allocated via the professional scheme managed by [AF2M](https://www.af2m.fr), the association that also operates **33700** for reporting unwanted texts.

Two further obligations not to overlook:

- **Inform the person** that their number will be used to send reminders, at the point where you collect it. One line in the booking form is enough.
- **Be able to stop** the reminders on request, and do it without argument. A number that's been withdrawn must be withdrawn everywhere, including in the file exported onto the workstation.

## How do you actually send these reminders?

Three levels, depending on volume.

**A few reminders a week.** From your computer, via an online sending service or the messaging app linked to your phone. It's free, immediate, with no setup: the methods are detailed in our article [how to send a free SMS online, step by step](/blog/2026-07-20/envoyer-sms-anonyme-gratuit). The limitation: sending is manual, so it depends on your memory, and you don't get a detailed delivery report — a point we dug into in connection with [SMS read receipts](/blog/2026-07-05/sms-read-receipts).

**Between 20 and 200 reminders a month.** A bulk sending platform with scheduling. You import a file of numbers, compose the message with merge fields ([first name], [date], [time]), and schedule it. The cost runs to a few cents per message. The real gain isn't financial: it's automating the send time.

**Beyond that, or if the calendar is software-based.** An SMS gateway called via API from your business software. As soon as an appointment is created, the reminder is scheduled automatically; if it's cancelled, the reminder is deleted. It's the only setup that removes manual entry entirely. The useful concepts (gateway, API, delivery receipt, alphanumeric sender ID) are explained in the [glossary](/glossaire), and the methods are compared in the [comparisons](/comparatifs) section.

![Hand resting on the keyboard of a lit laptop, typing text](/images/blog/2026-10-14-sms-rappel-rendez-vous-modeles-regles/body-2.jpg)

On the workstation side, two details save time day to day when you send reminders from the computer: a [desk phone stand](https://www.amazon.co.uk/s?k=support+smartphone+bureau+r%C3%A9glable&tag=ds0608-21), which keeps the screen visible while you consult the calendar, and an external number pad if you key in a lot of numbers by hand. Nothing essential, but entering ten-digit numbers is exactly where mistakes creep in.

## What mistakes make a reminder fail?

- **Going over 160 characters without realising.** One accented letter or a stray em dash switches the message to UCS-2; the text then goes out as two separate messages, often arriving out of order. Count before you send.
- **Not naming yourself.** "Reminder: appointment tomorrow 3pm" sent from an unknown number looks exactly like a scam message. The name of the practice or salon at the start of the message is the only proof of authenticity the recipient has.
- **Using a shortened link.** Shortened links in a business text inspire mistrust and, for many recipients, trigger a reflex to delete. Prefer a phone number.
- **Sending too early.** A reminder at D-15 is forgotten before the date comes round.
- **Sending on a Sunday.** For a Monday morning appointment, the reminder goes out late on Friday afternoon.
- **Asking for a reply you won't read.** If you write "Reply YES", you have to check the replies. A reminder that invites a reply into the void is worse than a reminder with no question at all.

> A successful reminder is measured by one thing: the number of cancellations received the day before rather than empty slots on the day. The goal isn't for everyone to show up, it's for nobody to miss without warning.

## Frequently asked questions

### How many characters should an appointment reminder text be?

Aim for 90 to 130 characters. The technical limit for a text in the GSM-7 alphabet is 160 characters; by leaving a margin, you can absorb a long client name or an address without spilling over into a second message.

### Can you send an appointment reminder without the client's consent?

Yes, as long as it really is a reminder tied to an appointment they booked and their number was collected for that purpose. Prior consent becomes necessary as soon as the message contains a commercial offer. Simply inform the person, when the appointment is booked, that you'll be sending a reminder by text.

### What time should you send a reminder text?

Between 10 a.m. and 8 p.m. on weekdays, ideally in the late afternoon the day before the appointment: that's when the recipient is organising the next day. Avoid before 9 a.m., after 8 p.m., and Sundays.

### Do you need a short code to send reminders by SMS?

No, not for a handful of manual sends from a computer or a phone. A dedicated sender ID or a short code becomes useful as soon as you automate sending at volume, because it identifies your organisation and allows replies and opt-outs to be managed.

### Can sending be scheduled in advance?

Yes. Bulk sending platforms and SMS gateways let you schedule the exact date and time. It's the only reliable way to guarantee a D-1 reminder without having to think about it, particularly for Monday appointments that need reminding on the Friday.
